This article reviews the components of the Accounting Link tool bar and what each component does.

 

Tool bar location 

The Accounting Link tool bar is located in the upper left corner of Accounting Link.

 

 

Exiting Accounting Link (File Menu)

File Menu is another way to exit out of Accounting Link. Click on File and from the drop down menu choose Exit. Another way to Exit is to click the red X located in the top right corner of Accounting Link.

 

 

Configuration

Configuration is where Accounting Link is tailored to each business. This information is set up at the time of install. There are several options based on what information the user wants to see in the accounting software. In addition, it includes the Chart of Accounts and all of the account mapping. There are several tabs included within Configuration based upon the set up for the business.

 

 

Refresh Feature

The Refresh feature refreshes Accounting Link. This would be used to bring new activity into Accounting Link or any corrections made in the point of sale system. Any transactions that need to be corrected will need to be in New Activity to pick up the changes.

 

Paid In/Out

Paid In/Out is where a transaction will be included that were not entered into the point of sale system. An example of a Paid Out is buying pizza for employees using the cash in the drawer. An example of a Paid In is receiving a rebate check from a vendor.

 

 

Help Menu

The Help Menu includes the following options: Register, Compact, Reset, Sync, Archive, and About.

 

 

Registering Accounting Link

Register is where the user registers the software.  This is done at the time of the installation.

 

 

Compact

Compact will condense the Accounting Link database. This would be done to reduce the size of the database.

 

 

Reset

Reset will reset the users in the database and close Accounting Link. This would be used if Accounting Link was blank when opened. There would be no New Activity, no History, and nothing in configuration. This could happen if another user is already logged into that location or there was an error which caused Accounting Link to close, but caused another user to remain logged into the database.

 

 

Sync

Sync is used to synchronize the date from the point of sales and Accounting Link.  Use this feature when Accounting Link is not part of the point of sale computer network. The Back Office installs a program called DataLink on the point of sale server. This program will send the point of sale data to Accounting Link. 

 

Archive

Archive will remove historical data from the Accounting Link database prior to the selected date. Archiving data may increase loading and processing speeds in Accounting Link. Archived date is not readily accessible through Accounting Link but the date exists in the original form in the point of sale and as entries in the accounting software. Archived date is stored on the user's system and may be accessed by Accounting Link support.

 

 

About

About gives the user information on Accounting Link about the product and system. It also includes information on who the product is registered to.

 

 

Accounting Link Information Bar 

Located at the bottom of Accounting Link is the information bar. From left to right, this information includes: TBO (The Back Office) and the version of the Accounting Link program, next is the file path. This tells the user where the database is located. This database contains all of the user's setup, account mapping, and history. A back-up of this file is created when Accounting Link is opened. The file should also be backed up externally as a safeguard in the event of the user's computer crashing. After the file path, Click here to contact technical support. Click this link and a web page will pull up.  This page will include support contact information. The right side of the information bar is the current date and time.
